Business automation: what to automate first
5 November 2026, 5 min read
The best first automation is rarely the most impressive one. It’s a boring job that happens often, follows clear rules and won’t cause much harm if something goes wrong.
A quick way to choose
Score each job from one to five on these questions:
- Volume: how often does it happen?
- Time: how long does it take?
- Consistency: is it done the same way each time?
- Low risk: could a mistake be caught and fixed easily?
- Annoyance: does your team hate doing it?
Start with the highest total. That last question matters, because your team is more likely to support a change that removes a job they dislike.
Good first candidates
- New enquiries: capture website and email enquiries, add them to your CRM and alert the right person.
- Quote follow-ups: remind staff, or send an approved follow-up, when a quote hasn’t had a reply.
- Appointment reminders: reduce no-shows and manual calls.
- Invoice data entry: pull details from supplier invoices into your accounting software for a person to approve.
- Onboarding: send documents, create accounts and assign tasks when you win a customer or hire someone.
- Reports: pull weekly numbers together automatically.
Automation or AI?
They’re different tools. Simple automation follows fixed rules: when this happens, do that. It’s reliable and usually cheaper. AI helps when the input is messy, such as a free-text email or a scanned document.
Use rules wherever rules will do, and add AI only for the steps that need it. Most good solutions use both.
Keep a person in the loop
For anything that affects money, legal commitments or a customer’s situation, let the system prepare the work and let a person approve it. You can loosen that once you’ve seen how it performs.
Mistakes to avoid
- Automating a process nobody has agreed on.
- Building something only one person understands.
- Not setting up alerts for when a step fails.
- Forgetting to measure the time before and after.
- Giving a tool more system access than it needs.
Your next step
Ask your team which job they’d most like to stop doing. It’s a surprisingly good starting point. We can then help you connect your tools and automate it, or give you a straight answer if it isn’t worth it.
