What affects the cost of an AI chatbot for your business?

Ask for a chatbot price and you’ll get quotes that are miles apart. That’s usually because suppliers are quoting for different things. Here’s what actually changes the cost.
One-off build costs
What it needs to know. Answering from a tidy website is simple. Pulling from years of messy documents takes longer, because the content has to be cleaned up first.
What it needs to do. Answering questions is the simplest level. Booking appointments, checking orders or updating your CRM all need connections to other systems, and each one adds work.
Where it needs to work. A website is the usual starting point. WhatsApp, SMS and phone each add setup and testing.
How much testing it needs. A bot that handles health, legal or financial questions needs far more care than one that shares opening hours.
Ongoing costs
- AI usage: Most models charge by how much text they process, so your cost rises with your number of conversations.
- Other services: SMS, phone numbers and hosting may be charged separately.
- Support and improvement: Someone should review conversations, fix wrong answers and update content as your business changes.
Be cautious of any quote that leaves out ongoing costs.
How to compare quotes
Ask each supplier the same questions:
- What exactly is included, and what costs extra?
- What will we pay each month, and how does it grow with use?
- Who owns the content, the setup and the conversation data?
- Can we change AI models, or leave, without starting again?
- How do you test it, and what happens when it gets something wrong?
Is it worth it?
Work it out from your own numbers. How many enquiries do you miss each week, and what’s a new customer worth? How many staff hours go into answering the same questions?
If those numbers are small, you may not need a chatbot yet, and a good FAQ page could be enough. If they’re large, even a simple bot can pay for itself.
